3-Day Proposal Deadline Enforcement

Just over five years ago, the University of Arizona implemented the 3-day proposal deadline policy to address the additional work required to ensure the timely and successful submission of electronic proposals.  When followed, Sponsored Projects Services (SPS) is able to review the proposal and help UA researchers navigate proposal submission requirements that vary from sponsor to sponsor.

The policy states:

  • Electronic proposals must be submitted to Sponsored Projects Services (SPS) in final, ready-to-submit, completely approved form 3 business days prior to the sponsor deadline.  As a consequence, SPS will need to review and approve budgets and other relevant routing requirements before the 3-business day proposal deadline.  Be advised that your college may have additional deadline requirements.
  • Non-electronic proposals, including the approved proposal routing sheet (PRS) or online routing form, cover page, budget, and budget justification also must be submitted to SPS for approval 3-business days prior to the sponsor deadline.

Currently, many investigators do not submit their proposals by the 3-day-in-advance deadline.  Sponsored Projects Services can no longer process those late proposals and now will begin strict enforcement of the deadline policy without exception.  Sponsored Projects will not acknowledge receipt, make an attempt to review, or submit any proposal received less than 3 business days in advance of the submission deadline until all proposals that have met the deadline have been reviewed and submitted.
