In March 2020 the Undergraduate Council (UGC) received a proposal from the University Academic Advising Council to update the policy on the Grade Replacement Opportunity (GRO). The updates have the effect of extending the GRO filing deadline, and changing the course/unit cap to a course cap only. This policy update was reviewed and approved by the Undergraduate Council, College Academic Administrators Council, and Faculty Senate during the Spring 2020 semester. The new policy is effective beginning with the Summer 2020 semester.

Items Affected by the Grade Replacement Opportunity Policy Update

  • GRO requests for regular-dated classes in any session may be submitted online during GRO filing periods.  See the exact GRO Filing Deadlines and the GRO Information page.
  • A total of 3 courses may be repeated under GRO.

Justification/Rationale 

  • Under the previous GRO policy undergraduate students were permitted to repeat up to 3 courses, or 10 units, and replace the original grade earned. The updated policy permits students to repeat up to 3 courses, with no restriction to units. This update will provide students greater access to GRO 4- and 5-unit courses. Students will be better able to retain scholarships and financial aid and to rehabilitate their GPA early in their academic career.
  • Extending the filing deadline for the GRO will enable more students to file their GRO requests on time, and will give students more time to consult with their academic advisors about whether to use the GRO for a particular course. Moving the deadline to the same date as the deadline for withdrawing from a course with a 'W' will also reduce the number of different deadlines of which students need to be aware.
