Subject: Zoom Changes Coming December 21
Date: Dec 01, 2020

The University of Arizona will be implementing an update to Zoom on Monday, December 21, affecting cloud recording storage, Panopto integration, and future Zoom updates.

Zoom Recording Retention

  • Currently: Zoom recordings saved to the cloud are retained for 200 days before auto-deleting.
  • On December 21: The number of days these recordings are kept will be reduced to 130 days.

The change will go into effect immediately on the 21st, meaning all recordings made on or before August 12, 2020 will be deleted on December 21, 2020.

  • Faculty: The 130-day retention policy allows for a full term to pass with enough time to move Zoom recordings into Panopto for future use, while gaining a significant cost saving to the University.
  • Staff: You can download recordings you wish to save onto your local hard drive.

Panopto Integration with Zoom

  • Currently: If you use D2L and/or have a Panopto account, your Zoom recordings automatically move into a preset folder in your personal Panopto "My Folder."
  • After December 21: All Panopto users will need to opt-in or their recordings will not move into Panopto. During opt-in you can choose the Panopto location for saving Zoom recordings.

The opt-in process will be a simple series of selections within your profile page. We will provide documentation when it's available.

Zoom Updates Required

  • On December 21 we are implementing required updates.

As Zoom releases important security, privacy and functionality changes, it is important for all hosts and participants to keep their software up to date. If your version of Zoom has not been updated since the last major security update, you will be asked to update before starting or entering your next scheduled meeting. Updates in Zoom are generally quick. The momentary delay is worth delivering a consistent and secure experience for all.

The steps to update (when required or anytime) are:

  1. Open the Zoom application on your computer
  2. Select "Sign In with SSO"
  3. Type "arizona" for company domain
  4. Login with UA NetID and NetID+
  5. Once signed in, click on your profile icon in the upper right corner
  6. Select "Check for Updates"
